Assets
What lands here
Files used to live wherever they were uploaded — a mockup on a quote line, art on a job, a proof someone posted in comments. Finding “that shirt design we did for Riverside last spring” meant remembering which job it was on.
Assets is the index over all of it. A file shows up automatically, no filing step, when it’s attached to any of:
| Where it was added | Shows as |
|---|---|
| A quote line item | Quote |
| An invoice line item | Invoice |
| A job’s mockup images | Job mockup |
| A job line item | Line item |
| A job’s comment thread | Comment |
Each file is listed once, however many places reference it. A mockup that travels from a quote to an invoice to a job is one asset that remembers all three, not three copies.
Files sent in team chat are deliberately excluded. Assets is for work product tied to a customer or a job; a DM is where people trade screenshots.
Finding a file
Open Assets in the sidebar. Search matches on filename, and you can narrow by:
- Type — images, PDFs, design files (AI, PSD, EPS, SVG), or other
- Customer
- Uploaded by
Every card links back to the customer and the job it came from, so a file is always one tap from its context.
In context
You don’t have to start from the library. Both of these show the same files, already scoped:
- A job’s detail page has an Assets section listing everything on that job — its own mockups, its line items’ mockups, and anything posted into its comments.
- A customer’s page has an Assets section spanning all of their quotes, invoices, and jobs.
File names
A file keeps the name it had on the computer it came from, so searching for “riverside” finds the Riverside artwork.
Files uploaded before this was in place are a different story. Their names were discarded at upload and never stored anywhere, so there’s nothing to recover — they show as Unnamed file in italics. Click one, or use the pencil button on any card, to give it a name. The file type is preserved, so renaming can’t turn a PDF into something else.
Downloading and deleting
Hover a card for Download, which saves the file under its original name.
Delete removes the file from the library and detaches it from the job, quote, or invoice it was attached to — so it stops rendering there too. Admins and managers can delete anything; everyone else can delete what they uploaded.
Deleting is not reversible. If a file is the approved artwork for a job, take it off the job rather than out of the library.
Who can see it
The Assets page is office-side: admins and managers. Workers reach the files they need through the job they’re assigned to, where the job’s Assets section and its comment thread both work as normal.
