Assigning tasks

A quote that isn’t ready to send usually needs something from someone: a mockup, artwork, pricing checked, a second set of eyes. Tasks let you assign that ask to a named person instead of walking over and asking out loud, and give that person one place that shows only what they owe.

This is a beta feature, invite-only right now. ManagePrint invites a handful of shops by email; an admin accepts or declines from a link, the same way as pre-production statuses. If your shop hasn’t been invited, you won’t see an Assign Task button or a Tasks entry anywhere.

Assigning a task

Every quote, at any status, carries an Assign Task button in its action bar. Only admins and managers can assign. Pick:

  • Kind — Mockup, Art, Second set of eyes, Pricing, or Something else.
  • Assignee — anyone on your team, or leave it unassigned to drop it in the unclaimed queue.
  • A note and a due date, both optional.

The quote shows what it’s waiting on

Once a quote has an open task, a Waiting on banner appears above the document listing each one, who it’s for, and its due date. Anyone can mark a task Done from the banner; admins and managers can also reassign, edit, or dismiss one.

Tasks warn, they don’t block. A quote with open tasks can still be sent or approved. The banner is what stops the verbal ask, not a hard gate.

Your tasks, in the messages panel

Open the chat bubble and a pinned Tasks to Be Complete entry sits above your conversations, showing how many are open. Selecting it opens your task list, grouped into:

  • Overdue and Today, by due date.
  • Later, everything else, including tasks with no due date.
  • Unclaimed, tasks nobody owns yet. Admins and managers can claim one for someone right from this list; everyone else just sees it’s outstanding.

Tap the checkmark on any row to mark it done. Admins and managers also get a quick-add bar at the bottom: type a title and press Enter to create a task assigned to yourself, with no quote attached.

The chat bubble’s badge counts your unread messages plus your open tasks, and turns red the moment a task is included. It pulses once when a new one lands, then goes quiet, it doesn’t stay flashing.

Tasks aren’t gated by your plan the way team chat is. An org with tasks on on Starter still gets the Assign Task button, the Waiting on banner, and the pinned Tasks entry, even with the rest of the messages panel unavailable.

Who can do what

  • Assign, reassign, or cancel a task — admins and managers.
  • Mark your own task done — whoever it’s assigned to, plus admins and managers.
  • See every task — admins and managers. Everyone else sees only what’s assigned to them, plus the unclaimed queue.

What happens to a task when…

  • Its quote is deleted. The task is cancelled automatically, with a note. It isn’t deleted outright, so there’s still a record of who was waiting on what.
  • Its assignee leaves the org. The task goes back to the unclaimed queue rather than vanishing with the person.
